Do I need a Virtual Assistant?

Usually, these kinds of article start with some sort of statement about how rewarding running your own business is. They wax lyrical about the freedom to be your own boss and the rewards of seeing your company bloom and grow. I am not saying all that stuff isn’t true, of course, it is, but it’s not a real reflection of what running a business is like, is it? That is where the Virtual Assistant (VA) comes in.

Running a business often means doing the admin.

The business doesn’t run itself and while we all love the big decision moment and the highs, a lot of what we do can end up being just day-to-day work. Yes, there are wonderful moments and opportunities which make it all worthwhile, but most of the time you are just doing, well… stuff. Your days are filled with regular, business related, day-to-day admin.

It's sort of a balancing act between the part you like doing and the tasks that just need to be done. Which would be fine, if they balanced, but the reality is that a lot of the time they all pile up together. Multi-tasking is the only answer, but it is proven not to work. When tested it tends to reduce focus, increase errors, and slow overall productivity. This is because the brain struggles to effectively switch between tasks that require similar levels of attention or focus.

Whether you need a VA or not comes down to making a choice. It’s a bit of an overused cliché amongst business people, but sometimes you need to decide if you are going to be working in your business or working on your business.

What are the signs that you need a Virtual Assistant?

One of the most common comments we get here at Able Admin, is ‘I wish I had spoken to you earlier’. The sad truth is that it is very common that people only come to us when they reach the ‘frazzled and at the end of their tether’ stage. We could have often helped much sooner, and saved a lot of stress, if they had recognised the need in plenty of time. So, with that in mind, here are a few of the more common signs that things need to change.

This is the obvious one in many ways, but it is also the most common because admin tasks are insidious. They creep up on you and soon you are mired in paperwork and routine tasks. If your to-do list is filled with repetitive tasks like managing spreadsheets, organising your calendar, or sending invoices, it’s a clear sign you’re bogged down by admin work. These tasks, while essential, don’t directly generate revenue. Even worse, they take your focus from high-impact and growth activities like business development, marketing, or client engagement.

Accurate bookkeeping is crucial for the health of your business, but it’s also time-consuming, requires attention to detail and let’s be honest here, most of us find it pretty dull. Yet it’s necessary to ensure your financial records are accurate, and it will also help you avoid costly mistakes and penalties. If you are falling behind on your bookkeeping, you really do need to look for some help. Call us and let’s talk about where you are and how we can help get back on track.

I don’t know why you opened your business, but I am guessing the reasons didn’t include ‘so you could spend less time with family and friends and work all the hours available’. Too many business owners end up sacrificing evenings, weekends, or personal time. If you find yourself heading that way just to keep up with your workload, you need to recognise that as a big red flag. As business owners, we all occasionally go above and beyond. It’s part of the job. However, when administrative tasks regularly eat into your downtime, it’s a big warning that you’re either already stretching yourself too thin or heading rapidly towards it. This is not only a big work-life balance problem, but you are also getting over tired and that leads to mistakes. Burnout can soon follow and that is big trouble and not a good place to be.

If you’re spending so much time on daily operations that you’re unable to pursue new leads, partnerships, or projects, you’re basically just leaving money behind on the table to go and do the admin. Delegating routine tasks to a VA enables you to focus on scaling your business, improving products or services, and building the strategic relationships that drive long-term success.
